General Conference Questions

When and where is SEPG Europe 2009 being held?

SEPG Europe 2009 will take place Tuesday, 9 June through Friday, 12 June 2009, at the Clarion Congress Hotel Prague.

What are the important dates for SEPG Europe 2009?

What types of registration are available?

Full conference registration is good for all four days of SEPG Europe 2009. It provides access to the Mini-Tutorials, Tutorials, Presentations, Panel Sessions, Poster Sessions, Keynote Addresses, and meals for each day—continental breakfasts, lunches, and breaks. It also provides access to the Exhibit Showcase, the SEPG Europe 2009 First Timers' Orientation, and the Exhibit Showcase Grand Opening.

A two-day registration provides access to Mini-Tutorials, Tutorials, Presentations, Panel Sessions, Poster Sessions, Keynote Addresses, meals, (continental breakfasts, lunches, and breaks) and any conference-wide receptions taking place on your choice of the two days for which you register. It also provides access to the Exhibit Showcase for those two days.

How do I register?

Register online through the SEPG Europe 2009 secure registration website.The online registration site works with Internet Explorer, Mozilla Firefox, and Netscape Version 6.0 or above. What methods of payment do you accept for Registration?

Cash, checks (personal and company) and credit cards – MasterCard, Visa, AMEX, Diner’s Club – are all accepted. You may also use a Purchase Order – please see the online registration website for detailed submission information.

I’m having trouble with the online registration system.

Is there an early registration discount?

Yes! Register before the early-bird date of 15 May 2009 (by 23:59 U.S. Eastern Time) and you save $100 (U.S. Dollars) off the registration fee.

Do you offer group discounts for registrations?

Yes. For organizations that wish to send groups of five or more, we offer a 10% discount off of the prevailing rate. Visit the conference registration website and select the group registration option. All members of the group must be registered simultaneously for the discount to apply, and one form of payment must be used for all of the registrants. Once the registration process has been completed, additional discounted registration requests will not be honored for that same group. Discounts are not retroactive.

Are meals included in the conference fee?

Yes. Continental breakfast, lunch, and refreshment breaks are provided on each day for which you are registered for the conference. Receptions, including the Exhibit Showcase Opening, are also included.

How do I let you know that I have special dietary needs?

When registering for the conference, you will be able to indicate your particular dietary needs and restrictions. In order to accommodate your request, we ask that you let us know by the early-bird registration deadline of 15 May 2009.

Can I bring a guest or spouse to conference sessions?

Your guest or spouse is welcome to attend the tutorials and sessions, but they must be a paid registrant. Due to the professional nature of the meetings, children under 18 are not permitted to attend.

Can I bring a guest or spouse to the special events?

Guests over the age of 18 and spouses of attendees are welcome to attend the Exhibit Showcase Opening on Tuesday, 9 June from 17:30 to 19:00. Please stop by the Registration Desk to pick up a guest badge.

I haven’t received a registration confirmation—who do I contact to get one?

Will the SEPG Europe conference be able to accommodate my special needs?

Yes. The SEI is committed to providing access to the SEPG Europe conference for all attendees. When you register for the conference, you will be able to indicate your need for assistance. In order to accommodate your request, we ask that you let us know of your needs by the early-bird registration deadline of 15 May 2009.

Will I be required to wear a badge at the conference? How and when do I get mine?

Yes. All conference participants must wear their badges at all times to gain access to the conference technical sessions and associated events. Badges are distributed onsite at the Registration Desk on the second floor near the escalator in the Clarion Congress Hotel Prague. You will need to show a government-issued photo ID to pick up your registration package, which includes your badge.

When can I pick up my badge?

You may pick up your badge at the Registration and Conference Information Desk on the Conference Level near the escalator of the Clarion Congress Hotel at any of the following times:

  • Monday, 8 June: 15:00 – 18:00
  • Tuesday, 9 June: 8:00 – 18:30
  • Wednesday,10 June: 8:00 – 16:00
  • Thursday, 11 June: 8:00 – 16:00
  • Friday, 12 June: 8:00 – 16:00

Do I need to present an ID when I pick up my conference registration?

Yes. We require all attendees to present government-issued photo identification at SEPG Europe registration.

Where is the Registration and Conference Information Desk located?

The Registration and Conference Information Desk is located on the Conference Leavel near the escalator in the Clarion Congress Hotel Prague. Is it open during the following times:

  • Monday, 8 June: 15:00 – 18:00
  • Tuesday, 9 June: 8:00 – 18:30
  • Wednesday,10 June: 8:00 – 16:00

Is there a dress code for SEPG Europe 2009?

We recommend that attendees dress in business casual attire for the conference. In order to maximize your personal comfort, we recommend that you consider wearing layers and/or sweaters. This will allow you to adjust to any varying conditions in Prague and in the conference venue rooms.

How do I cancel my registration?

Requests for refunds must be made to WingateWeb. Please contact WingateWeb at +1 866-902-5794 (toll free) or at +1 801-617-0386 (tolls apply) or send a message to support@sepg.wingateweb.com. WingateWeb’s Technical Support is open Monday through Friday from 7:00 to 18:00 MST. Requests received on or before 10 April 2009 will be honored in full minus a $75 USD administrative fee. From 10 April 2009 until 15 May 2009, refunds will be 50% of the applicable registration fee. NO REFUNDS after 15 May 2009. Substitutions are permitted at any time and at no cost; however we request they be made prior to 22 May 2009 in order to update the onsite registration materials. If you cancel after 15 May 2009 and do not send a substitute, the conference materials will be mailed to you after the conference concludes. Registration fee payments are not transferable to other SEI events.

Can I substitute someone else for my registration?

Yes. Substitutions are permitted at any time and at no cost; however we request they be made prior to 22 May 2009 in order to update the onsite registration materials. You can elect a substitute by logging on to your account on the online registration system.

Program Questions

When will the SEPG Europe 2009 technical program be available on your website?

The preliminary program will be available 6 March 2009.

What is the difference between a mini-tutorial, tutorial, panel session, presentation, and poster session?

Mini-Tutorials (90 minutes)

Mini-Tutorials are the same length as Panels, with only a single presenter. The objective of the Mini-Tutorials is to enable attendees to experience a more in-depth session from subject matter experts, including a hands-on exercise, about a hot topic relevant to the industry. Mini-Tutorials are scheduled on all conference days.

Tutorials (Full or Half-Day)

Tutorials give subject matter experts an opportunity to share their knowledge and experiences in an education-oriented environment. Tutorials focus on improving attendees’ comprehension and skills in a particular subject area. Tutorials incorporate examples and hands-on learning opportunities for the attendees. Tutorials are scheduled on Tuesday of the conference.

Panels (90 minutes)

Panels provide the audience with an opportunity to discover what hot and possibly controversial topics are on the minds of individuals leading the field of process improvement and related matters. Panels target issues related to the conference topics and will be selected according to their relevance to the aims of the conference. Panel sessions are scheduled on Wednesday, Thursday, and Friday of the conference.

Presentations (40 minutes)

Presentations describe how the work builds on, differs from, or contributes to the state of practice or the state of the art of performance improvement. The goal of the presentations is to include practical tools (forms, checklists, procedures, etc.), empirical data (metrics), and real-world experiences. Presentation sessions are scheduled on Wednesday, Thursday, and Friday of the conference.

Poster Sessions (30 minutes)

Posters provide a quick and efficient communication of a specific topic. Poster sessions combine text and graphics to make a visually-appealing presentation to attendees as they walk by. Attendees will be able to view the information at their leisure during the conference and discuss it with the poster session owners during certain times of the conference.

Can I still submit an abstract?

No. The call for abstracts is closed. We are pleased to note that the community responded strongly to our call for abstracts, which were due 14 November 2008.

Are professional development/CEUs available at SEPG?

A personalized Certificate of Attendance will be emailed to all conference participants after the conference concludes. SEPG Europe 2009 does not provide CEUs for the conference.

Do I need to pre-register for specific sessions?

No. You do not to register in advance for the any of the sessions. Your conference registration will enable you to choose any sessions that interest you at the conference.

Is there a job board at SEPG Europe 2009?

Yes. SEPG Europe 2009 will have a board where organizations may post job opening announcements.

How do I post a job opportunity on the job board?

Simply give your posting announcement to the SEPG Europe staff at the Registration Desk.

Can I get an attendee list?

To respect attendees’ privacy, we do not make our attendee list publicly available. We strongly suggest you use the networking events, breaks, and special events to network and make connections with peers. Networking is one of the biggest benefits of the conference, and we encourage you to make the most of your time at SEPG Europe 2009 by connecting with others.

What is an SEPG volunteer?

SEPG Europe conference volunteers are SEI Members who serve as room monitors and session moderators for two days during the conference.

In exchange for these services, which consist of overseeing the evaluation process and making sure the presentation room and its various technologies are in working order, SEPG volunteers receive a reduced fee that includes full-conference registration, all meals, and access to all special events for $560. Volunteers are responsible for their own travel, room, and board expenses that are associated with the conference. Volunteers must be able to commit to two full days of volunteering in order to receive the reduced conference registration fee.

What hotels are available?

How do I reserve a room?

Rooms at the Clarion Congress Hotel Prague are available to SEPG Europe attendees at discounted rates starting at 159 Euros.

To confirm a guest room at the special conference group rate, use one of the following contact methods and mention the code SEPG Europe 2009.

Reservations for the group rate will be accepted through 15 May 2009 or until rooms at that rate are sold out, whichever occurs first. All reservations must be guaranteed with a credit card number. Cancellations must be received 24 hours prior to the date of arrival (until 18:00 local hotel time) or a cancellation fee equal to the full stay will be applied to the credit card. Check-in time is 14:00 and check-out time is 12:00.

Will there be a conference discount code posted for registrants when making hotel arrangements?

The conference discount code is SEPG Europe 2009.

How do I get from the Prague airport to the Clarion Congress Hotel Prague?

Taxi

A taxi from the airport takes approximately 45 minutes and costs approximately 30 Euros.

Public Transportation

There are two options for traveling to the hotel from the airport via public transportation. The cost is 26 Czech korunas (CZK), approximately 1 Euro:

  1. Take bus number 119 from the airport to metro station Dejvicka. Take Line A from the Dejvicka metro station to the Mustek metro station. Change to Line B to get to metro station Vysocanska. The trip duration is approximately 48 minutes.
  2. Take bus number 100 from the airport to metro station Zlicin. Take Line B from the Zlicin metro station directly to the Vysocanska metro station. The trip duration is approximately 54 minutes.

How do I get from the Clarion Congress Hotel to Prague’s city center?

The Vysocanska metro station is next to the hotel. At that station, take Line B through seven stops to get to the city center at metro station Mustek. The cost is 26 Czech korunas (CZK), and the trip duration is 12 minutes.

If you are traveling directly from the airport to the city center, the trip takes approximately 30 minutes. The travel website http://www.prague.cz/arrival-departure-prague.asp offers instructions for getting to the city from the airport via subway, bus, taxi, or shuttle.

What is there to do in Prague?

Favorite places to visit include Old Town Square in the heart of the historical district, Kampa Island to enjoy the park, and the Vinohrady district, known for its array of museums, architecture, and the National Theatre. Don't forget to check out a cruise down the Vltava River, shopping throughout the city, and an array of nightlife. Czech cuisine is known for featuring prominent meat dishes, paired with a variety of beers and wines. Explore the Prague.cz and Lonely Planet websites for numerous restaurant suggestions, sightseeing activities, and other helpful information for tourists.

Is there parking available at the Clarion Congress Hotel?

Yes. You are welcome to park your car in the hotel's parking garage at a fee of 17 Euros per 24 hours.

When and where is SEPG Europe 2009 being held?

The SEPG Europe 2009 Conference will take place 9-12 June at the Clarion Congress Hotel in Prague, Czech Republic.

The official conference hotel is the Clarion. By booking your hotel within the SEPG Europe block, we are able to reduce the overall costs associated with producing the conference. These savings allow us to offer reduced registration fees and maintain the services that are included with those fees. We thank you in advance for your understanding and participation.

How do I purchase exhibit space?

To purchase exhibit space at SEPG Europe 2009 go to Exhibit Space Registration. Spaces will be assigned in the order they are received. A floor plan will not be available until three weeks prior to the conference.

The exhibit rates for SEPG Europe 2009 are:

$3,750 U.S. dollars for each four square meter space unit prior to 15 May 2009 (early-bird rate)

What is included in the exhibit space costs?

Each exhibiting organization receives the following:

  • Exhibit space (sold in 2m x 2m units).
  • One complimentary full conference registration valid for all four days of SEPG Europe 2009. It provides access to the Tutorials, Technical Sessions, Keynote Addresses and meals for each day, which include continental breakfasts, lunches, and breaks. It also provides access to the Exhibit Showcase and the Grand Opening Reception.
  • Up to two additional passes for booth staff at a cost of $995 USD each; passes include access to the Exhibit Hall only and all meals, breaks, and exhibit showcase grand opening reception.
  • Pre- and post-show attendee lists.*
  • 50-word description of the exhibiting organization's products and services. This description will be published in the SEPG 2009 Exhibitor Directory as part of the Final Program, if received by 1 April 2009.
  • Direct link to your organization's website from the SEPG Europe2009 website where exhibitors are listed.
  • Exhibitor Showcase Grand Opening on Tuesday, 9 June 2009.

How do I pay for my exhibit space?

**In order to allow exhibit personnel time to ready their exhibit prior to the show opening for the day, exhibit personnel will be permitted access to the Exhibit Showcase a half hour prior to the showcase opening. The area will close promptly a half hour after the close of showcase hours. Only registered exhibit personnel will be permitted in the Exhibit Showcase area during these pre- and post-exposition hours. Proper badge is required to gain access.

How do I find my current booth number?

Exhibit assignments will be assigned after all applications are received. You will be given your exhibit location prior to the start of the conference.

How do I order items such as electrical or personalized backwall for my exhibit space?

All special orders can be placed through the conference decorator. Additional information will follow.

How do I register my booth personnel?

All conference registrations pertaining to your booth will be done through our registration partner WingateWeb. Staff changes are permitted up to the start of the event. These changes should be submitted via email to WingateWeb.

How do I provide an update or change my company and/or exhibit personnel information?

Do exhibitors receive an attendee mailing and/or contact list?

Yes, exhibitors will be receiving two lists: a pre-show attendee list (sent after the early-bird registration cut-off date of 15 May) and a post-show attendee list.

Is there lead retrieval at the SEPG Conference?

There will be a lead retrieval device available for rent. Details will be included in WingateWeb's exhibit space registration website.

When will space be available for SEPG Europe 2010?
