Being selected to present at SEPG Europe is a prestigious recognition of your ability to contribute to the field of performance improvement and process capability. Please note the following important information that will help you make the most of your presentation opportunity:

  • Presenters are responsible for their own hotel and travel expenses.
  • Conference registration fees vary based on your session type—Presentation, Panel, Tutorials, and Posters—and are designated for presenters only and are not transferable.
  • Presenters who are not able to meet the established deadlines for confirmation of participation and materials submissions will be replaced.

New for 2009

Change in Complimentary Speaker Registrations

New for 2009, the following complimentary registrations will be applied to the different session formats. Please review this information carefully, as it has changed from previous years.

  • Presentations (40 minutes) – Day of presentation complimentary for the primary speaker only.
  • Panels (90 minutes) – Day of presentation complimentary for the Panel Moderator (primary presenter) and up to three additional panelists (co-presenters) for a maximum of four individuals.
  • Mini-Tutorials (90 minutes) – Day of presentation complimentary for one Tutorial (primary) presenter only.
  • Tutorials (Half-Day and Full-Day) – Day of presentation complimentary for one primary presenter and one co-presenter only.

All session-format presenters with a complimentary registration for their day of presentation will also be eligible for a deeply discounted full-conference registration upgrade cost. Those fees will be finalized and announced by 9 January 2009.

Poster Presentation Change

Beginning in 2009, Posters will be open to student participants only. Both graduate and undergraduate students will be encouraged to participate through this program. Help us welcome the next generation of software and system process professionals into our community by passing the word along to any students whom you know.

WingateWeb Returning in 2009

We are pleased to announce that WingateWeb is again providing our Call for Abstracts system as well as other elements of the SEPG Europe 2009 online experience. Our collaboration with them allows us to offer many improvements, including immediate email confirmation of your abstract's successful submission, the ability to edit your submitted information until the site closes, and the ability to provide you with individual feedback from the attendees for each submission.

If your abstract is selected, you'll be able to log into the Speaker Resource Center (SRC) throughout the remainder of the pre-conference planning process to complete your other submissions. The SRC will provide a timeline of when materials are due, will allow you to submit your materials online, and will maintain a current status report of materials that you will need to submit.

Session Types

There are six session types available for SEPG Europe 2009, with tutorials being held on the first day of the conference.

Mini-Tutorials

For these 90-minute sessions, we ask that there be no more than one primary presenter. Mini-Tutorials must include at least two hands-on exercises for the attendees.

Tutorials – Half-Day

Half-Day Tutorials must include at least three hands-on exercises for the attendees.

Tutorials – Full-Day

Full-Day Tutorials must include at least four hands-on exercises for the attendees.

The next three formats are scheduled on Wednesday, Thursday, and Friday of the conference.

Panel Presentations

For these 90-minute sessions, we ask that there be a maximum of four people presenting, including one Panel Moderator who actually makes the submission. In the online submission process, the Panel Moderator should select "Primary Presenter," and the other panelists should be noted as "Co-Presenter."

Presentations

These are 40-minute presentations with a maximum of one primary presenter and one co-presenter. Only the primary presenter will be eligible for the complimentary day-of-presentation registration pass and deeply discounted full-conference registration upgrade.

Poster Presentations

There are two time periods when poster presenters must be with their posters: both Tuesday and Friday of the conference. New for 2009, these posters will be reserved for graduate and undergraduate students only.

If you are accepted as a presenter at the SEPG Europe 2009 Conference, you must adhere to the following guidelines and policies.

Presenter Registration Waivers

Panel Sessions

Day of presentation waived for each panelist to a maximum of four per panel. Reduced conference rate available for panelists to attend the remainder of SEPG Europe.

Presentations

Day of presentation waived for one presenter (the primary presenter) per presentation ONLY. Reduced conference rate available for primary presenters to attend the remainder of SEPG Europe. Co-presenters wishing to attend must register through regular conference means.

Tutorials

Half-Day and Full-Day

Day of presentation waived for up to two presenters (one primary and one co-presenter) per tutorial session. Reduced conference rate available for each presenter to attend the remainder of SEPG Europe.

Mini

Day of presentation waived for one (primary) presenter per mini-tutorial session ONLY. Reduced conference rate available for each presenter to attend the remainder of SEPG Europe.

Poster Session

Waived for one student per poster session.

Presenter Terms and Conditions

  • By submitting a session abstract, submitters grant the SEI permission to reproduce and distribute materials online as part of the proceedings of SEPG Europe 2009.
  • Any presenter who misses the 6 April 2009 submission deadline will be removed from the program and replaced by an alternate presenter.
  • If you need to send a substitute to SEPG Europe to present in your place, contact the Technical Program Coordinator, Ruth Gregg, as soon as possible.
  • If you are unable to attend the conference, contact the Technical Program Coordinator, Ruth Gregg, as soon as possible.

Presentation Submission Guidelines

  • You should confirm that you will be able to obtain any and all necessary approvals or clearances prior to confirming your participation at the SEPG Europe 2009 Conference.
  • Materials submission deadline is Monday, 6 April 2009.
  • Presenters who do not provide materials by the 6 April deadline will be removed from the program and replaced with an alternate.
  • Presenters who update their materials after Monday, 6 April 2009 must provide attendees with a website where the updated presentation materials can be obtained.
  • All presentation materials will be on the conference CD-ROM that is distributed with the registration materials.

Presentation Guidelines

  • The SEPG Europe program is very full, and it is important—for speakers as well as attendees—that the schedule be maintained. Due to time limitations of the program, we recommend limiting the number of slides to 25 or fewer for 40-minute presentations and 100 or fewer for half-day tutorials.
  • Presentations must be submitted both as Adobe PDF files (one slide per page) and PowerPoint files.
  • If you chose to submit your presentation only in PowerPoint, it will be converted to PDF for inclusion in our downloadable conference proceedings. The SEPG Conference Series management team and the SEI are not responsible for any formatting errors that may occur due to conversion to PDF, so we strongly encourage you to submit your presentations as requested—in both PDF and PowerPoint—to avoid any potential difficulties.
  • Include your contact information and website on the final slide.
  • Number all slides.
  • Define each acronym the first time it is used in the presentation.
  • Present materials that reflect the abstract that you submitted.
  • Check your spelling and perform all final edits PRIOR to submitting your materials.
  • Use standard Windows fonts when preparing your presentation (these are the fonts that are pre-installed on your computer.).
  • If incorporating animations, do not cover text.
  • Use the following convention to name your presentation: "sepgcode#-lastname".ppt or "sepgcode#-lastname".pdf

Poster Session Guidelines

  • Use graphics where possible.
  • For case studies, be sure to describe the process improvements that led to these results.
  • Use a large enough font to be visible by someone standing up to six feet away from the poster (minimum of 18 point).
  • Be sure to leave enough white space to allow people to focus on what is most important for them to see.
  • When using graphics, do not put too much information in one figure or chart.
  • When using text, avoid long sentences; instead use bulleted statements.
  • Avoid using any promotional material for your organization that is not directly related to the poster theme.
  • If using acronyms, provide definitions.
